Verification of Payee (VoP): New procedure in payment transactions

How companies implement the new SEPA regulation and use VoP securely with windata professional & konfipay

In October 2025, the mandatory Verification of Payee (VoP) for all SEPA credit transfers and real-time credit transfers came into force with EU Regulation 2024/886. This requires companies throughout the SEPA area to make their payment transactions fit for the automatic reconciliation of recipient data - regardless of industry, size or payment channel used.

What does the new audit obligation mean for companies?

The central aim of the VoP regulation is to make payment transactions more secure and to significantly increase protection against incorrect transfers or payment fraud. From now on, every bank will check whether the recipient name entered matches the IBAN account holder exactly - if something is wrong, there is a risk of aborted payments or queries during the payment process. Companies - from solo self-employed persons to large corporations - must take the following measures to ensure that payments continue to run smoothly from October 2025:

  • Clean up master data: All recipient names must be maintained accurately and completely (including legal form). Incorrect or abbreviated information can lead to rejections.
  • Check your own account details: The company name on file with the bank should be identical to the details on invoices in order to avoid payment defaults.
  • Update financial software: Check whether the existing accounting and payment software supports the VoP requirements. If necessary, install updates or contact the provider.
  • Adapt processes and interfaces: Check whether ERP and payment processes support the new release logics (VEU, TAN), internal checks and fully automated workflows.
  • Train employees: The accounting and finance team must be trained in dealing with VoP in order to recognize errors at an early stage and react in a targeted manner.
  • Dealing with feedback: Define internal routines in order to be able to quickly resolve payment aborts or queries (e.g. in the event of close/no match).
  • Inform customers: Business partners should be informed of the exact payer name at an early stage in order to avoid unnecessary returns. 
Companies that have not yet adapted their master data to the new recipient verification (VoP) requirements risk payment defaults, delays and considerable additional work in their day-to-day operations. The new rules bring added security - but also require timely organizational and technical changes.

  • The IBAN and recipient name are automatically compared for each transfer. The result (Match, Close Match, No Match, Not possible) allows a direct decision as to whether a payment should be released.
  • Both opt-in and opt-out can be set individually or channel-based (EBICS, FinTS). This means that payment transactions can be planned - those who want to rely on processes that remain as unchanged as possible can work with opt-out.
  • Recommended: Apply specifically to the bank for an opt-out and implement it in good time if desired. Account holder data should be checked and standardized in advance.
  • Benefit: Full control and transparency for companies, fewer incorrect transfers and efficient workflows.
